Draft for review. This policy is provided in draft form while Ucademy’s licensure in Alberta is pending, and will be finalized and confirmed against current provincial requirements before enrolment opens.
Purpose and Scope
This policy explains how a student cancels an enrolment contract or withdraws from a Ucademy program and what is refunded. It applies to every student of Ucademy Career College, operated by Ucademy Ltd. (Calgary, Alberta), and follows sections 13 to 17 and 21 of Alberta’s Private Vocational Training Regulation (Alta Reg 341/2003). Refunds are never lower than the Regulation requires.
How to Cancel or Withdraw
A student cancels or withdraws by giving Ucademy written notice in a way that records the date it was delivered: the Cancel contract / Send withdrawal notice button on the student’s application page in the Ucademy Online Campus (the date and time are recorded and confirmed automatically), or an e-mail to info@ucademy.ca from the address on the contract. The contract ends on the date the notice is delivered. Students who receive student financial assistance must also notify their funding source.
Cooling-Off Period
A student who cancels on or before the 4th business day after signing the enrolment contract (weekends and Alberta holidays do not count) receives a refund of everything paid, including the registration fee.
Before the Program Starts
Ucademy collects only a registration fee of $250 after the contract is signed; no tuition or other fee is collected before the program start date. After the cooling-off period and before the start date, Ucademy may keep the registration fee. It is refunded in full if Ucademy ends the contract before the program begins, or if the program does not begin on the start date in the contract and the student chooses to end the contract.
After the Program Starts
Ucademy may keep no more than the following share of the total tuition fees shown in Part C of the enrolment contract:
- 10% or less of the program provided: 25% of total tuition.
- More than 10% but less than 50% provided: 60% of total tuition.
- More than 50% provided: 100% of total tuition.
The share of the program provided is measured by the time elapsed between the start and end dates in the contract on the date the notice is delivered. If the student has paid more than Ucademy is entitled to keep, Ucademy refunds the difference.
Fees Outside Tuition
Ucademy charges no application, assessment, graduation or late fees. Where a contract lists certification exam vouchers separately under “Other fees”, a voucher already issued to the student is not refundable; vouchers not yet issued are refunded in full.
Refund Timeline and Recipient
Refunds are paid within 30 days of the date the contract ends, to whoever paid the tuition — the student, a sponsor or a government funder — and/or to any outstanding student loan.
Cancellation or Termination by Ucademy
Ucademy ends a contract only by written notice to the student. If Ucademy cancels a program before it begins, everything paid for it is refunded. If a contract ends after the program has begun, refunds follow Section 5.
Enrolment Contract
Every student signs the Alberta Student Enrolment Contract, which sets out these refund rules. If this policy and the contract differ, the terms more favourable to the student apply, subject to the law.
