Leave of absence, program transfer and re-entry

What to do if you need to pause your studies, start later, switch programs or come back after withdrawing.

Draft for reviewLast updated: October 18, 20267 sections · about 2 min read

Draft for review. This policy is provided in draft form while Ucademy’s licensure in Alberta is pending, and will be finalized and confirmed against current provincial requirements before enrolment opens.

1Purpose

Life does not always follow a study plan. This policy explains the options available when you need to defer your start, take a break, change programs or return after withdrawing.

2Deferring your start date

Before your program starts, you may ask in writing to defer your start date. Ucademy will normally approve one deferral of up to six months. If you decide not to start at all, the Tuition Refund and Withdrawal Policy applies.

3Leave of absence

  • You may request a leave of absence in writing for medical, family, employment or other significant personal reasons.
  • A leave is normally up to 90 days at a time, and no more than 180 days in total during a program.
  • Requests should be made before the leave begins; in an emergency, as soon as you are able.
  • Ucademy responds in writing within 5 business days, stating the approved dates and how your study plan and time limit are adjusted.
  • During an approved leave you keep your place, your completed work and your grades. Your course access may be paused.
  • If you do not return by the end of an approved leave and do not contact Ucademy, you may be withdrawn from the program after Ucademy has tried to reach you.

4Transferring to another Ucademy program

You may ask to transfer to another Ucademy program. Courses you have passed that are part of the new program are credited to it. Tuition is adjusted under the enrolment contract for the new program, and any difference is explained in writing before you agree to the transfer. Transfers are normally limited to one per student.

5Re-entry after withdrawal

If you withdrew or were withdrawn for non-academic reasons, you may apply to re-enter within 12 months. Courses you passed are normally credited if the program content has not changed significantly. Re-entry after a dismissal under the Code of Conduct is at Ucademy’s discretion.

6Effect on funding

A leave, transfer or withdrawal can affect student loans, grants, employer support or other funding. Talk to your funding provider before you make a change; Ucademy can confirm your enrolment dates in writing.

7Appeals

You may appeal a decision under this policy in writing within 15 days of receiving it. The appeal is reviewed by a senior administrator who was not involved in the original decision, and a written decision is provided within 10 business days.
